Privacy Policy — Calico Connect and the Calico Client Portal

Calico Construction Inc. ("Calico", "we") runs the Calico Connect app for iPhone and the client portal at calicoinc.com/portal. This policy explains what we collect, why, who we share it with, and how you can delete it.

What we collect
- Account details: your name, company, email or username, phone number, and the addresses of your sites or projects. Passwords are stored only in scrambled (hashed) form; we can't read them.
- What you send us: service and repair requests (what's wrong, the day and time you prefer), quote requests, messages, and the photos and files you upload (for example plans and documents).
- Your projects: the records of the work we do for you — updates, photos, tickets, estimates, contracts, invoices and warranty information.
- If you work for Calico (team members): your work time records, the job sites you work at, notes and photos of finished work, receipts you submit for reimbursement, your location while you are clocked in (see "Location" below) and — only if you allow it — the location where a work photo was taken.
- Technical data: a sign-in token that keeps you signed in, and basic server logs (IP address, time, what was requested) that we use to keep the service secure.
We do not collect your contacts, browsing history or advertising identifiers. There are no ads and no tracking in the app, and we don't sell personal information.
How we use it
To provide our services (your projects, bookings, quotes and estimates), to schedule and send technicians, to contact you about your work, to run payroll and reimbursements for our team, to keep the service secure, and to meet legal obligations.
Quotes: you can upload your plans (PDF or photos) or email them to build@calicoinc.com. Our team reviews them and replies within 2 business days. There is no instant or automatic price.
Who we share it with
- Our team and the subcontractors assigned to your work — only what they need to do the job.
- Companies that run parts of the service for us: Apple (to distribute the app) and, once online payment is available, our payment processor, which handles card details directly (we don't store full card numbers).
- AI for our team: AI helps our team with service tickets and never receives a customer's name, phone number or plans.
- When the law requires it.
How long we keep it
While your account is open, and after that for as long as tax, warranty and legal rules require. Then we delete it. Receipts that team members submit are kept for 7 years. Team members' clock-in location is kept for 30 days.
Deleting your account
You can delete your account inside the app: Account → Delete account. You can also ask us at build@calicoinc.com. We delete your account and personal data within 30 days and confirm when it's done. We keep only records the law requires us to keep (such as signed contracts, invoices and receipts), and nothing else.
Location
Customers: the app never collects your location.
Calico team members: while you are clocked in with the Start/Stop clock, the app shares your location with our office only, so we can dispatch the right person to a job. It stops as soon as you clock out, hours you type in by hand never share location, and we keep these locations for 30 days. Adding the location to a work photo stays optional.
Security
All connections are encrypted (HTTPS), passwords are hashed, and each person only sees what their role allows.
Children
Calico Connect is a business service and isn't meant for children under 13. We don't knowingly collect their information.
Your choices and rights
You can see, correct or delete your information at any time — in the app or by writing to build@calicoinc.com. Notifications are optional. Depending on the state you live in, you may have more rights; contact us and we'll help.
Changes
If we change this policy we'll post the new version here with a new date, and tell you in the app if the change matters.
